TimeSavr Guide for Educators

Getting Started:

Step 1: Go to www.timesavr.net. (Tip: Before the children arrive at the dayhome, make sure you are logged in and ready for when they arrive). Be sure to use Google Chrome as your browser. If you don’t have it, download it for free here: https://www.google.com/intl/en/chrome/browser/ Note: You can access TimeSavr from your PC, Mac, Smart Phone or Tablet.

Step 2: Enter the username and password provided by Child Development Dayhomes and click on “Log me in”. Your username is in the following format: “firstname.lastname”. If you lose your password or would like to change it, please email colette@childdev.com.

Step 3: Go to the “Attendance” tab. Check that all your dayhome children are on the list. If a child is missing, please contact the agency.

Logging Children In and Out:

When each child arrives at the dayhome, click the “In” button beside their name. It will turn green and the time will appear in the first box. 

When the child leaves the dayhome, click on the red “Out” button. The time will appear in the second box. You can also manually enter the time but you must hit the “Save Changes” at the top right of the page. The total daily hours will also be calculated. (If you forget to log the children out, the system will log them out at 9pm and the agency will contact you about it.

Entering before/after school children: Add a second line for a child. For example, if you have a before/after school child, you will need to log them in and out more than once a day. To do this, click on the green + button to the right. This will add a second line. Save Changes.

Absent children: If the child is absent (sick, away on holiday, etc.) click on the button “ABS”. Note: DO NOT mark absent part time children if they are not scheduled to be there that day. Leave them blank. When you mark a child absent, you are still getting paid for that day.

Educator Absent:

If you are absent (sick, away on holiday, etc.) do not log any of the children or mark them absent for that day. Your days off are recorded on a different page. Here are the steps:

Step 1: Under the Provider menu, click on “Hours”.

Step 2: Select the date range by clicking the calendar. Next, click the red "Unavailable” check box for each child that is affected. Marking yourself unavailable lets us know to reimburse the parent for that day. 

To see a list of all the unavailable days you have selected, go to "Unavailable Dates" tab. If you make a mistake, click the green "x" beside the name.

Drop in and Back-up Children:

If you have drop in or back-up children that will be attending who are not appearing on your screen, please contact the agency. We will need to add the children to your attendance.

Important Note: You may occasionally see a child logged in under a different educators’s name. A child can be attached to more than one educator in back up care situations. Never delete or change the time for a child who is showing up as logged in at another dayhome educator’s house. If you are no longer doing back up care for a child and you would like him/her removed from your attendance page, please contact the agency.

Estimating hours and TimeSheet Deadline:

Before the timesheet deadline date (indicated on the first page of the monthly newsletter), estimate the children’s hours for the rest of the month. Select future dates by clicking on the calendar. Log the children in and out and hit save. Repeat for each working day of the month. 

Child Calendar Report:

To see all the hours for each child, go to Reports, Children, Calendar View.

Re-entering your real hours (2 days after TimeSheet Deadline):

Update the estimated hours to the real hours each day. The best way to do this is to delete the estimated times and log the children in and out like normal. Please contact the agency immediately if there are any changes that will affect your payment, such as unexpected dayhome closure, unexpected backup children, or extra days for part time contracts.

 

Earnings and Payment Statements:

Click on “Reports”, then “Providers” to access your statements.

Earnings Report – Select the date range and hit “Run Report”. This report shows your detailed earnings statements.

Payments Report –Select the date range and hit “Run Report”. This report shows the total amounts you were paid by EFT each month.
